DATA PRIVACY POLICY

We take your privacy seriously and this policy sets out how we will process and protect your data.

The practice follows guidelines set out by the Royal College for Speech & Language Therapists and the Health Professions Council. All information will be processed in line with the UK Data Protection Act (1998) and the General Data Protection Regulation (2018).

Who we are:

Ticol Ltd is registered with Companies House.  We deliver independent speech and language therapy to children in the home, clinic and/or educational setting.  The data controller for all therapy related information is Thildie Peacock, and this practice is registered with The Information Commissioner’s Office.  Thildie is a Speech and Language Therapist and is registered with the Health and Care Professions Council (HCPC) and Royal College of Speech and Language Therapists (RCSLT).

What Data we hold:

We only hold client data that is absolutely necessary and relevant to provide a Speech and Language Therapy service. This information may include personal details, school progress, therapy progress and targets, assessments, reports, letters and notes from sessions or telephone calls regarding your child or their therapy.  With parental consent, this may include discussions with other professionals working with your child (such as teachers, nursery staff, NHS speech and language therapists, etc).

What we do with your data:

The information held is used for the provision of Speech & Language Therapy and administration relating to this provision.

We will not share client data with any third parties without your permission, unless required to do so by law. 

We aim to keep the data we hold up to date and correct.

How we keep your data secure:

Written data and hard copies will be kept in a client’s file and stored within a locked filing cabinet. Electronic data will be stored on encrypted media. Records will be kept for 7 years beyond discharge or until a child reaches 25 years old, and will then be destroyed (in accordance with HPCP and RCSLT guidelines).

Electronic recordings, such as videos or sound recordings, are sometimes necessary for assessment or therapy purposes and will only be taken with parental consent.  These electronic recordings may be viewed or listened to by the therapist to make notes in a client record within 24 hours of the child’s appointment and will then be deleted. 

Paper reports and letters are sent via the Royal Mail, but electronic copies can be sent by email with the client’s consent. Reasonable measures will be taken to secure such transmissions, including password protecting documents.

Your child’s file will only be taken out of the Speech and Language therapy office base when necessary, such as for therapy appointments or attending meetings.  During this time it will be kept with the therapist at all times. 

Data Breach:

In line with data protection regulations, we are obliged to report any data breaches to you within 72 hours. This includes data theft, and such issues will also be reported to appropriate authorities.
